Only public (green) documents go in this folder: things already published, or that you would give to anyone who asked. The AI saves what it downloads here; you can also drop files in yourself.

List every file here when you add it. If a question comes up later, this shows exactly what the AI worked from and where it came from.

| File name | Where it came from (web address or office) | Date downloaded | Downloaded by | Notes |
|---|---|---|---|---|
| [file name] | [web address] | [DATE] | [NAME] | [Version, page count, anything unusual] |

## Example entry (for illustration)

## Do not put here

- Voter lists or anything with voter personal information
- Social Security numbers, driver license or state ID numbers, or signatures
- Passwords, keys, tokens, or network and security documents
- Anything you haven't checked for personal information

## Starting from a system export?

An export from the voter registration system, a poll worker list, or any CSV or Excel file can hold personal information. First delete every column that holds it (addresses, dates of birth, phone numbers, emails, ID numbers, and any name the job does not need). Then put only the cleaned file in this folder. Do that work first: it is what makes the folder safe. The full export stays out of the folder.
